Cold-Room Monitoring, Refrigeration Controls and Service Contracts
A practical worksheet for operations, stores and project teams.

A cold-room monitoring service, a refrigeration controller and a maintenance contract supply different functions. Map the measurements, control actions, notifications and physical response before comparing proposals. The quality owner also needs a separate route for product decisions. A complete responsibility table makes clear who receives an exception, who repairs equipment and who authorises the affected stock.
Use the working record
Download the editable worksheet. Record the actual evidence and responsible reviewer against each relevant row. The empty results are inputs for your project, not completed tests. Add the equipment identity, operating period and reference method before assigning an outcome. Retain unsuccessful checks and the evidence from any repeat after correction.
Separate the three technical roles
The refrigeration controller operates the equipment according to its configured design. An independent monitoring arrangement records selected conditions and supports reporting or notification. The refrigeration service provider inspects and repairs the plant under the agreed contract. One supplier may cover several roles, but each function still needs a clear scope and acceptance method.
Start with the customer's actual concern. A room that struggles to recover after loading presents a different task from a room with adequate refrigeration but poor night-time escalation. The proposed work should address that problem explicitly. Adding a remote chart does not establish that a mechanical defect has been repaired or that a responder is available.
Identify the measurement each system uses
Record the controller probe, monitoring probe and any product or reference measurement separately. Their positions, response and purpose can differ. The controller may use a point suitable for regulation while the quality team requires evidence from another representative position. Agree how the observations will be interpreted rather than assuming their numbers should always match.
Verify units, range, timestamps and the meaning of controller registers before importing them. A setpoint, return-air reading and defrost status are different fields. Keep the source identity with each value so an engineer can distinguish a genuine disagreement from a mapping or label problem.
Agree access to existing refrigeration equipment
Obtain the controller documentation, available interface and permission from the relevant owner or service provider. Confirm any licence, gateway or vendor assistance needed for read access. The monitoring scope should identify the selected fields and test them without implying that every existing controller supports the same integration.
Where the project includes changing a control setting, assign that work to the authorised refrigeration/control specialist. Preserve the before-and-after configuration and the reason for the change. Monitoring access and permission to alter plant operation should be treated as separate responsibilities.
Define a complete exception sequence
An exception begins with a measurement and a rule. Record the rule source, relevant product or room, observation time and data quality. Then distinguish event creation, notification delivery, acknowledgement, attendance, equipment restoration and product disposition. Each stage answers a different operational question.
The quality owner applies the customer's approved stock procedure. A repaired compressor or recovered air reading does not automatically establish the acceptability of every lot affected during the event. Keep the quality decision and supporting evidence linked to the engineering incident without merging their authorities.
| Responsibility | Typical evidence | Named owner to confirm |
|---|---|---|
| Control operation | Accepted controller settings and state | Refrigeration/control specialist |
| Monitoring record | Probe identity, reference and quality | Monitoring/instrument owner |
| Notification | Delivery and escalation evidence | Monitoring service and site contact |
| Physical attendance | Call-out record and findings | Contracted local service provider |
| Equipment restoration | Work performed and verification | Refrigeration specialist |
| Stock disposition | Approved procedure and decision record | Customer quality owner |
Compare service boundaries and call-out conditions
Read the actual maintenance and monitoring agreements. Identify coverage hours, contact methods, included work, exclusions and the process for authorising additional attendance. A monitoring subscription may include platform support while a local refrigeration visit is arranged separately. The budget should reflect the supplied arrangement.
Keep response acknowledgement distinct from attendance and restoration. A proposal should state which measure it promises and how that measure is evidenced. Do not fill an unspecified service target with an assumed industry value. The customer needs a clear commercial answer from the responsible supplier.
Test the failure paths that matter to the site
Use approved simulations to test an unavailable probe, lost backhaul, gateway restart and an unreachable recipient. Record the expected and actual behaviour for each. Identify whether the local controller continues operating and which remote functions become unavailable. Label the simulation so it cannot later be mistaken for a genuine stock incident.
Include the normal night or shift-change arrangement. A test received by the commissioning technician does not establish that the operating roster works. Verify the alternate contact and escalation route with the responsible site team, then confirm the production configuration has been restored.
Make maintenance records part of the interpretation
Record probe relocation, calibration, defrost changes, repairs and room-layout changes. These events can affect how a trend should be read. The operator reviewing last month's excursion needs the configuration that applied then, not only the current device label or present room arrangement.
Assign routine checks for batteries, connectivity, user permissions and contact lists. The refrigeration contractor may own some tasks and the monitoring provider others. Keep the division practical for the actual site, including how a technician reports a change that affects the monitoring record.
Accept one room from measurement to reviewed outcome
Select a room, an agreed reference and a representative operating period. Demonstrate the exported record, exception sequence and service handover. The customer should be able to trace a measurement through notification and technical action to the authorised quality outcome, with open issues visible.
Retain the point list, responsibility table and contract references with the accepted configuration. Use the trial to identify what must change for another room, product or shift. A useful acceptance result is an operating chain that the customer's people can maintain, with each provider's contribution clearly identified.
Connect the decision to the project
Use Cold chain monitoring, Logistics to place this task within the wider installation. Bring a recent operating record and identify the decision that the proposed measurement should support. A focused discussion should establish the first boundary, the responsible site participants and the evidence needed before expanding the scope.
Agree who maintains the point register and who can change interpretation rules. Preserve the previous version when a device, product, reporting period or responsibility changes. During handover, demonstrate an export that another authorised person can reconcile without relying on the dashboard operator to explain missing fields.
Discuss the scope with addanode using the actual site information, available interfaces and proposed acceptance record.
Sources and method
The CDC storage and handling toolkit supports general recording, equipment and response discipline. Its vaccine-specific limits are not transferred to food storage; the customer supplies the applicable product criteria.
Frequently asked questions
Does a monitoring subscription include refrigeration repairs?
Use the actual contract. Identify physical attendance, repair work and associated charges separately from monitoring and platform support.
Why can two probes show different values?
Their position, purpose, response, calibration and timing may differ. Compare them through the quality owner’s approved method.
Who closes a stock exception?
The authorised quality owner applies the product procedure, using the measurement and handling evidence alongside the engineering record.
