Linen is the asset everyone pays for and nobody counts.

A hotel's linen pool cycles through rooms, trolleys, an off-site laundry and back — and at every handover, the count is somebody's word. RFID makes the count nobody's word and everybody's record.

TL;DR — Industrial laundry RFID tags are sewn or heat-sealed into each linen item and survive the full wash process — ratings start around 200 wash cycles, with premium types tested past 500 cycles at 95 °C while keeping read range. A UHF reader then counts a full trolley or bag in one pass, through the fabric, in seconds. That turns three chronic problems into records: linen loss (you see exactly what left and what came back), per-item laundry billing you can independently verify, and item-level history (wash counts that tell you real remaining life instead of guessing replacement budgets). The tag cost only makes sense against the item's service life — which is why the project starts with the linen register, not the hardware.

Why linen defeats manual counting

Linen moves in bulk, in bags, wet and folded — the worst possible conditions for counting by hand. A hundred-room hotel turns over thousands of pieces a week across at least four custody changes: room to housekeeping, housekeeping to laundry despatch, laundry back to store, store back to floor. Each handover is a place for count drift, and the drift always resolves against whoever cannot prove their number. The result is familiar across South African hospitality and healthcare: replacement budgets that grow every year, billing disputes with the laundry that nobody can settle, and a stock figure that is a estimate wearing a spreadsheet's clothes.

What the tagged pool changes

  • The count becomes a scan. A trolley or bag passes a read point — or a handheld sweeps the shelf — and every tag inside answers at once, through the fabric. Despatch and return counts stop being arguments because they stop being estimates.
  • Per-item billing becomes verifiable. Where the laundry charges per piece processed, you now hold an independent count of exactly what went out and what came back, item by item. This is the same principle we apply to metered water: whoever holds the count holds the argument — and we do not sell laundry services, which is exactly why our count is useful in that conversation.
  • Loss gets a location. When an item disappears, the record shows the last custody point that saw it. Shrinkage stops being a pool-wide mystery and becomes a specific gap at a specific handover.
  • Replacement gets evidence. Each tag carries its item's wash count. You retire linen on measured fatigue, not on age or guesswork — and the purchasing budget follows actual consumption.

The tag is a textile product first

A laundry tag lives through detergent, bleach, 90 °C+ wash temperatures, high-speed extraction, tunnel drying and pressing — repeatedly, for years. Standard RFID labels die in the first cycle; laundry-rated tags are purpose-built, and their ratings are the spec that matters: entry ratings around 200 cycles, premium thermoplastic types independently tested past 500 cycles at 95 °C while retaining more than 6 m of read range. The economics follow one rule: match tag life to the linen's remaining service life. A 500-cycle tag in a towel with 150 washes left is money sewn into a rag — which is why our projects begin with a linen census and item-life estimate, not with a tag catalogue.

What a working system looks like

For most South African operations the architecture is small: laundry-rated UHF tags sewn or sealed into each pool item, one read point where linen leaves and returns (a portal, a tunnel, or a tagged trolley bay), a handheld for shelf audits, and integration that lands the counts where the money is decided — the housekeeping system, the laundry contract reconciliation, the replacement budget. Do RFID tags survive industrial washing?

Laundry-rated tags do — that is their entire design brief. Ratings start around 200 wash cycles, and premium thermoplastic types have been independently tested beyond 500 cycles at 95 °C while keeping more than 6 m of read range, through detergent, bleach, extraction and pressing. Standard RFID labels are not laundry tags and fail almost immediately; the two are different products that share a chip.

Can a reader count a full bag or trolley of linen?

Yes — that is the core trick. UHF RFID needs no line of sight, so a read point or handheld counts every tagged item in a closed bag or loaded trolley in one pass, in seconds. Wet, folded and stacked linen is the condition manual counting handles worst and bulk RFID reading handles routinely.

How does RFID help with laundry billing disputes?

Per-item laundry contracts bill on counts that, without RFID, only the laundry produces. A tagged pool gives you an independent, timestamped record of exactly which items went out and which returned. Reconciliation becomes a data comparison instead of a negotiation — and because we sell neither linen nor laundry services, the count we install has no side in the argument.

What does linen tagging cost per item?

Laundry-rated tags sit well above plain labels because they are sewn-in textile products engineered for hundreds of hot cycles — and their price only makes sense divided by the linen item's remaining life. The honest arithmetic compares tag cost per remaining wash against current loss and billing leakage per item. Does this work for hospitals and uniforms too?

Yes. Healthcare linen and workwear pools have the same shape — bulk movement, outside laundering, per-item billing, loss — with the addition of hygiene segregation, which the item-level record actually strengthens: each piece carries its own wash history. Uniform pools gain personal issue tracking, so "who has what" stops being a spreadsheet nobody trusts.
