Why linen defeats manual counting
Linen moves in bulk, in bags, wet and folded — the worst possible conditions for counting by hand. A hundred-room hotel turns over thousands of pieces a week across at least four custody changes: room to housekeeping, housekeeping to laundry despatch, laundry back to store, store back to floor. Each handover is a place for count drift, and the drift always resolves against whoever cannot prove their number. The result is familiar across South African hospitality and healthcare: replacement budgets that grow every year, billing disputes with the laundry that nobody can settle, and a stock figure that is a estimate wearing a spreadsheet's clothes.
What the tagged pool changes
- The count becomes a scan. A trolley or bag passes a read point — or a handheld sweeps the shelf — and every tag inside answers at once, through the fabric. Despatch and return counts stop being arguments because they stop being estimates.
- Per-item billing becomes verifiable. Where the laundry charges per piece processed, you now hold an independent count of exactly what went out and what came back, item by item. This is the same principle we apply to metered water: whoever holds the count holds the argument — and we do not sell laundry services, which is exactly why our count is useful in that conversation.
- Loss gets a location. When an item disappears, the record shows the last custody point that saw it. Shrinkage stops being a pool-wide mystery and becomes a specific gap at a specific handover.
- Replacement gets evidence. Each tag carries its item's wash count. You retire linen on measured fatigue, not on age or guesswork — and the purchasing budget follows actual consumption.
The tag is a textile product first
A laundry tag lives through detergent, bleach, 90 °C+ wash temperatures, high-speed extraction, tunnel drying and pressing — repeatedly, for years. Standard RFID labels die in the first cycle; laundry-rated tags are purpose-built, and their ratings are the spec that matters: entry ratings around 200 cycles, premium thermoplastic types independently tested past 500 cycles at 95 °C while retaining more than 6 m of read range. The economics follow one rule: match tag life to the linen's remaining service life. A 500-cycle tag in a towel with 150 washes left is money sewn into a rag — which is why our projects begin with a linen census and item-life estimate, not with a tag catalogue.
What a working system looks like
For most South African operations the architecture is small: laundry-rated UHF tags sewn or sealed into each pool item, one read point where linen leaves and returns (a portal, a tunnel, or a tagged trolley bay), a handheld for shelf audits, and integration that lands the counts where the money is decided — the housekeeping system, the laundry contract reconciliation, the replacement budget.
